Welcome to Ecotra, a specialist in ecotourism. Our mission is to provide premium tour packages and unforgettable travel experiences in the best African destinations, while promoting sustainable tourism practices. Before you proceed with booking your adventure with us, kindly review our Booking terms and conditions carefully and accept same, to help strengthen our relationship with you and to further ensure a seamless travel experience.

For purposes of these terms and conditions, our travelers, customers and users shall be referred to as “you”, “customer”, “customer/user”, while the terms “Ecotra”, “we”, “us”, “our” shall be used to refer to our company, Ecotra LLC.

1. Acceptance of Terms

By booking a trip with Ecotra LLC, you (the customer/user) agree to abide by these booking terms and conditions, as well as any additional terms agreed upon at the time of booking. If you do not agree with these terms, kindly do not proceed with your booking.

2. Booking Process

a. Reservation

All reservations and bookings must be made through our official website, mobile application or by contacting our customer service team on visitafrica@ecotra.org or through the designated contact lines and emails on our website. Our reservations/bookings shall be in two different categories:

  • Standard Booking: Offers our premium tour packages exclusive of flight reservations.
  • Air-inclusive Booking: Offers our premium tour packages including flight reservations.

While both categories can be available on the Ecotra website and Mobile Application, Air-inclusive bookings may require the assistance of one of our customer care representatives; hence, we recommend that you contact us via email, direct phone call or send an enquiry through our web and app platforms for seamless Air-inclusive bookings.

b. Payment

While booking on our website or mobile application, a full payment of the booking cost is required to secure your booking. However, we do have flexible payment plans for Ecotra customers/users who intend to make payment in batches. Kindly reach out to our customer service team for such payment plans alongside the payment terms.

Your booking will be confirmed after receipt of payment. Please note that we reserve the right to refuse a booking without giving any reason. In such circumstances, we shall return payment made within 7 – 14 business days.

c. Payment Method

Payments can be made via credit cards, bank transfer, or other methods specified on the Ecotra website and Mobile Application. Our travel specialists can also propose alternative modes of payment when necessary.

3. Pricing and Tour Packages

Our prices and comprehensive tour packages for all our travel destinations will be uploaded on the website and reviewed/updated from time to time. These tour packages will state in detail the full tour experience, the prices and the services that the booking fee(s) will cover.

4. Cancellations and Refund Policy

a. Cancellation by Customer

  • Any cancellations made by a customer/user within 30 days from the date of booking will be subject to a cancellation fee of 20% of the total booking fee. In the event of such cancellations by a customer, Ecotra will refund the remaining 80% to the customer within 60 days from the date of cancellation.
  • Any Cancellation made by a customer after 30 days from the date of booking will be subject to a cancellation fee of 100% of the total booking fee; hence, Ecotra will not be issuing any refund in such circumstances.

b. Cancellation by Ecotra LLC

If Ecotra LLC must cancel a customer’s trip due to uncontrollable reasons like force majeure or travel restrictions, we will compensate the customer by offering an alternative date and tour of equal value at no cost to the customer.

c. Early Return, Illness or Absence

All expenses for early return are the customer/user’s responsibility, unless the early return is as a result of negligence by Ecotra or their third-party partners/service providers. it is important to note that there shall be no refund for absence or early departure from a trip, including but not limited to missed hotel attendance, transfers, meals or any of the tour adventures such as sightseeing, cruises etc. Hence, every user is urged to purchase travel insurance which would cover such circumstances. Ecotra and their third-party partners/providers makes no representation or guarantees of reimbursement, scope of coverage, or other aspects of any travel insurance policy or claim.

5. Travel Insurance

Further to paragraph 4(c) above, a travel insurance is highly recommended for all users/customers to cover unforeseen circumstances such as missed trips, flight/airport delays, medical expenses and medical/health emergencies, evacuations, trip cancellations, missed tour adventures, death, etc. Therefore, it is the traveler’s responsibility to acquire the appropriate travel insurance prior to making the trip.

6. Changes to Itinerary

It is important to note that Ecotra LLC reserves the right to alter or change itineraries as necessary whenever there are circumstances beyond our control. Clients will be notified of any significant changes in advance, where possible.

7. Third-Party Providers and Affiliations

Ecotra LLC in a bid to provide premium tour packages and services in the various tourist countries and destinations may collaborate with well-vetted third-party partners and service providers to provide the value of services paid for and to further ensure an exciting experience. While Ecotra would strive to ensure that these third-party partners/providers offer the most professional and exciting services, it is important to note that certain uncontrollable circumstances in the countries/destinations of these third-party partners could sometimes lead to alterations and changes in the provided itinerary. If such alterations/changes occur due to the acts or omissions of these third-party partners/service providers, the user/customer shall be duly compensated with an alternative service of similar value.

8. Responsibilities of Users/Customers

a. Health and Safety

It is your responsibility to disclose any medical conditions, disabilities or sensitive information that could affect or impact your trip, prior to embarking on your tri

b. Behavior

Every user/customer must bear in mind that every location/destination has their rules and regulations; hence, it is the responsibility of the user/customer to adhere to the rules and regulations of these locations visited and to conduct themselves in a responsible manner. You are required and expected to respect the local cultures and traditions of people in the host countries and communities you visit.

c. Compliance with Local Laws and Regulations

It is the responsibility of every user/customer to comply with all local laws, regulations, and customs of the destination countries during their trips to the various destinations. Ecotra and their third-party partners shall not be held liable for any consequence stemming from an act or omission of any user/customer or their failure to comply with local laws and regulation. This clause shall also apply to complying with the rules of the airlines and country of departure. All rules, laws, and regulations must be complied with.

9. Liability

Ecotra LLC shall not be liable for any injury, loss, or damage arising from booking with us or any travel arrangements made with us, except such injury, loss, or damage is due to negligence on our part.

10. Force Majeure

Ecotra LLC shall not be liable for any failure to provide services due to circumstances beyond our control, including but not limited to natural disasters, strikes, war, or government interventions.

11. Governing Law

These terms and conditions are governed by the laws of the State of Minnesota, United States of America.

12. Acceptance of Terms

By completing your booking with Ecotra LLC, you confirm that you have read, understood, and agreed to these terms and conditions.
